Third-party systems (Pipedrive, Xero, WooCommerce)

This guide is maintained by hand (maintenance: manual). Everything else in this wiki is auto-derived from what we ship, and its screenshots regenerate when the UI changes. These systems are not ours — we can’t script their screens, and their look changes on the vendor’s schedule, not ours. So this page is checked and updated by a person, and it carries a last verified date instead of an auto stamp. If the date is old, treat the steps as a guide, not gospel, and check the vendor’s own help.

Why these are different

The knowledge base captures step-by-step screenshots automatically for the systems we build (the PIM dashboard, the storefronts, the calculators). That auto-capture only works on screens we control and can log a test session into.

Pipedrive, Xero and the WooCommerce admin are third-party tools:

  • we don’t own their HTML, so we can’t reliably script a click-path through them;
  • they sit behind their own logins (often 2-factor);
  • they change when the vendor updates them, not when we deploy.

So walkthroughs for these live here, kept current by hand.

How we make these walkthroughs

When a specific staff request justifies it, we record a walkthrough with Mimik — a free, open-source browser extension that records your clicks into a step-by-step guide with annotated screenshots and exports Markdown straight into this repo (so the guide lives here, not on someone else’s cloud). It is the record-once counterpart to the auto-capture we use for our own screens.

Note: We haven’t stood up any Mimik walkthroughs yet — this is a stub. If you need a step-by-step for a Pipedrive / Xero / Woo task, ask and we’ll record one. Until then, the vendors’ own help is the source of truth:
